How to Secure Your Printer, Scanner, and Home Office Gear
The printer in the corner is a full computer connected to your network, and most people never change a single setting on it. Here is how to lock down the quiet devices in your home office.

When people think about home security, they picture their laptop and their phone. The printer humming in the corner never enters their mind. Yet a modern printer is a small computer with its own storage, its own network connection, and often its own web interface — and almost nobody ever changes its settings after taking it out of the box. The same goes for scanners, all-in-one machines, network storage drives, and the other quiet gear that fills a home office.
None of this needs to be intimidating. A short session of sensible settings turns these forgotten devices from a soft spot into a non-issue.
Why a printer is a security concern at all
It is fair to ask why a printer matters. A few reasons make it worth ten minutes of attention:
- It is connected to the same network as your laptop and phone. A device with weak settings is a foothold on that network.
- Many printers keep copies of what they print or scan in internal memory. Scan a passport, a contract, or a tax form and an image of it may linger on the device.
- Printers often expose a web administration page, and if that page has a default or blank password, anyone on the network can reach it.
- Cheap smart gadgets and older office devices frequently stop receiving security updates, leaving known holes unpatched.
This is the same broad problem as any smart-home device — cameras, routers, and IoT gear that ship with weak defaults. The printer is simply the one most people overlook.
Start with the network it lives on
The single biggest improvement is making sure these devices are not reachable from the wider internet, and that your network itself is sound.
- Confirm the device is not exposed to the internet. A home printer should only be reachable from inside your own network. If you ever enabled "remote printing" or cloud access you do not use, turn it off.
- Fix the foundation first. Much of a device's safety comes from the network around it, so it is worth securing your home Wi-Fi router before anything else — a strong Wi-Fi password and up-to-date router firmware protect every device at once.
- Use a guest or separate network for gadgets. Many routers let you run a second Wi-Fi network. Putting printers, smart plugs, and other "internet of things" devices on a guest network keeps them walled off from the laptop where your important work lives.
Then lock down the device itself
Once the network is sound, spend a few minutes in the device's own settings. You usually reach these either through the manufacturer's app or by typing the printer's address into a web browser on the same network.
- Change the admin password. This is the most important single step. Many printers ship with a blank or well-known default password on their admin page. Set a strong, unique one.
- Turn off features you do not use. Fax, cloud email printing, remote access, and open file-sharing are all extra doors. If you never use them, disable them.
- Update the firmware. Check for a firmware update when you first set the device up, and occasionally afterward. Updates fix security holes, not just paper-jam bugs.
- Clear stored data. If your device stores scans or print jobs, learn how to clear that memory — and do so before you ever sell, return, or recycle it. Look for a "clear memory" or "reset" option, and for sensitive machines a factory reset before disposal.
- Secure the connection to your accounts. If a device emails your scans somewhere, make sure it is sending to an account you control and that the account itself is well protected.
The rest of the home office
The same thinking extends to the other gear on your desk:
- Network storage drives (NAS): These are among the most attacked home devices because they hold everything. Change the default admin password, keep the software updated, and never expose the drive directly to the internet.
- Webcams and mics: Use a physical cover or unplug external webcams when not in use, and check which apps have permission to reach them.
- USB drives and old hardware: Wipe old drives properly before disposal. Do not plug in USB sticks of unknown origin.
- Smart office plugs and hubs: Treat them like any IoT device — unique passwords, updates on, guest network if possible.
